Privacy Policy

We collect the data you provide directly through our forms (contact, quote request, job application): first name, last name, email address, phone number, company name and the content of your message. We also collect technical data generated automatically during your visit (IP address, browser type, pages viewed, connection logs) as well as data from cookies you have accepted.

Your data is processed in order to: respond to your requests and prepare quotes; manage the pre-contractual and contractual relationship; carry out commercial follow-up and, with your consent, send you communications; ensure the security and proper functioning of the site; comply with our legal and accounting obligations. Depending on the processing concerned, the legal bases are your consent, the performance of pre-contractual or contractual measures, our legitimate interest and compliance with legal obligations (Art. 6 GDPR).

Your data is accessible to authorised Espero-Soft staff and to our technical processors acting on our behalf, in particular our host OVHcloud (servers located in the European Union) and our email-sending tools. We do not sell or rent your data to third parties. No data is transferred outside the European Economic Area; should such a transfer take place, it would be governed by the appropriate safeguards provided for by the GDPR (standard contractual clauses).

We keep your data only for as long as necessary for the intended purposes: contact and quote requests are kept for up to 3 years after the last exchange; contractual and accounting data is kept for the applicable legal period (up to 7 to 10 years under Belgian accounting obligations); application data is kept for a maximum of 2 years, unless you object. After these periods, your data is deleted or anonymised.

In accordance with the GDPR, you have the right to access, rectify, erase, restrict and object to the processing of your data, the right to data portability, as well as the right to withdraw your consent at any time and to give instructions on the fate of your data after your death. To exercise these rights, write to us at info@espero-soft.com; proof of identity may be requested. We undertake to respond within one month.

We implement appropriate technical and organisational measures to protect your data against loss, unauthorised access, disclosure or alteration: encryption of communications (HTTPS), access control, secure hosting in the European Union and regular backups.
