VAT: invoice correctly and file returns without stress
VAT affects every invoice your SME issues or receives. In Belgium, you must check the customer's number, apply the right rate, add the correct legal notice and, for sales to other European businesses, handle the reverse charge. A single mistake quickly costs time, or even a correction with the tax authorities.
VAT basics for a Belgian company
In Belgium, the standard rate stands at 21%, with reduced rates of 12% and 6% for certain goods and services. Your VAT number is your enterprise number in the Crossroads Bank for Enterprises, preceded by BE. Depending on your situation, you then file a monthly or quarterly return through Intervat, the platform of the FPS Finance. Moreover, every invoice needs continuous numbering and the mandatory notices. Self-employed people with a limited turnover can sometimes use the small business exemption scheme; your accountant will tell you whether it applies.
Sales abroad add another layer. For example, when you invoice a business established in another member state with a valid VAT number, the reverse charge applies: the invoice shows 0% VAT and a regulatory notice, while the customer declares the tax in its own country. Every quarter, you then submit the intra-community listing, known as form 723. Keep proof that the customer's number was valid on the invoice date, because the reverse charge depends on it.
The most common VAT mistakes and how to avoid them
The first mistake consists of finalising an intra-community invoice without checking the customer's VAT number. Then come forgotten notices, wrongly applied rates and broken numbering sequences. Finally, many companies rebuild the 723 listing by hand, with a real risk of omissions. Therefore, software that validates numbers, blocks incomplete invoices and prepares exports protects you better than a spreadsheet. A regular review of your customer records also avoids surprises at the end of the quarter.
Also keep e-invoicing in mind. Since 1 January 2026, Belgian companies must exchange their B2B invoices in structured form through the Peppol network. Your invoicing tool should therefore handle rates, credit notes and Peppol delivery together, without entering data twice. Multilingual notices on your PDFs also help foreign customers understand each invoice. In addition, structured data reduces typing errors on both sides.
